Customer User Group

Terms Of Reference – Travel User Group

Purpose:

  • A forum for existing and potential new users of Buying Solutions’ Travel framework offerings, where delegates (User Group Members) have the opportunity to provide input into the short and medium term agenda covering operational aspects of public sector travel management.
  • To investigate and review potential gains to be made through wider public sector/departmental alliances and closer collaborative working.
  • Provide feedback to Travel Collaborative Pilot Teams (formed as part of the Transforming Government Procurement agenda) to ensure the development of the travel service offerings continue to meet the needs and aspirations of the public sector.  See below,diagram showing the  relationship between this Travel User Group, the Public Sector Travel Forum and the Travel Collaborative Pilot Teams.
  • To share knowledge and experience, and gain knowledge from  industry specialists on topical issues. 

Role:

 

Implement a review programme as directed by the Category Strategy Teams. This will involve participation by Travel User Group delegate Members in the following:

 

  • To participate in the consolidation of data on travel spend across the public sector landscape.
  • To review and provide feedback on supplier performance against agreed key performance indicators (KPIs).

Composition and Meeting Frequency:

  •  The User Group will be chaired by a member of Buying Solutions Travel Team.  It will consist of invited Members from the wider public sector and central government departments.
  • We will hold two meetings per year, with the option to facilitate others should operational issues that require more urgent attention arise.
  • Buying Solutions will host the meetings and provide secretariat services to the User Group.
  • Members can invite other participants to meetings where specific issues require the application of specialist knowledge. In such instances, prior notification well in advance of the next scheduled User Group meeting should be given to Buying Solutions.

 User Group Membership:

 

 

The Travel User Group shall comprise:

 

a)  Contract Managers with day-to-day experience of travel contracts.

 

b)  End users – those responsible for booking travel.

 

c)  Finance members – those responsible for reconciliation, payment and    settlement.    

         

d)  Others as appropriate to the agenda.

 

Functions of members:

  •   To facilitate organisations’ communications and input.
  • To be a key point of operational contact for public sector organisations participating in the Travel User Group.
  • Within your own organisation, champion recommendations made by the User Group and gain buy-in at Senior Management level.
  • Liaise internally with counterparts and provide feedback to the user group.
  • Work towards standardising common travel operational procedures.
